Job Elements: -

• The Executive Assistant will be required to provide confidential, professional administrative support to the Group Chief Executive and Chairman, whilst also providing administrative support for the Board and members of the Group Executive Board, as required.
• Manage and provide a confidential secretarial service to Group CEO and Chairman, providing additional administrative support to Heads of Departments when necessary.
• Provide full administrative duties as required including; booking rooms, producing agendas, taking and transcribing confidential minutes of meetings, circulating appropriate papers and logging /updating action points accordingly.
• Arrange international and internal travel plans and administration as required.
• Manage incoming emails, calendars, post, expenses, purchase orders and telephone calls for the GCEO, Chairman and President.
• Compose letters, draft documents and carry out typing duties as required.
• Act at the point of contact for various VIP bodies whilst observing appropriate internal protocol.
• Manage all files and systems within the department.
• Devise, implement and improve administration systems and procedures to meet departmental requirements
• Liaise with other Executive Board members, arrange and provide ad-hoc additional administrative support as and when capacity permits under direction of the GCEO.

The ideal candidate will have: -

• A minimum of 3 years proven experience in a similar role/function within a professional organisation.
• Ability to demonstrate a high level of confidentiality and discretion at all time.
• Proven experience in diary and email management for senior members within an organisation.
• Strong interpersonal skills and relationship management.
• A minimum of 5 GCSEs or equivalent including Maths and English
• Recognised Word processing qualification (to include typing speed of 50 w.p.m.) would be desirable.
• Shorthand would be an advantage.
• Educated to degree level would be an advantage.
• Excellent IT Skills, specifically Microsoft Word, Excel & PowerPoint.
• Excellent written and verbal communication skills are essential.
