The Role:
We are looking for an Office Support Administrator, supporting the senior administrative officer, working within the office support facilities environment.
Main duties include:
- Prepare documentation for the efficient, cost effective and lawful execution of all export activities in line with supplier’s guidebooks. Respond to daily report from courier suppliers and take necessary actions to ensure delivery or return of goods.
- Using a company van, deliver goods between the two sites. Scan courier deliveries and collect signatures for them.
- Enter data supplied by schools, regional offices and Cardiff departments and electronically file the requests for auditing.
- Order health & safety clothing and maintain records of team’s measurements. Record and control spends and report progress and trends to the senior admin officer for budget forecasting purposes.
- Using the operational procedures handbook to produce zonal mailing lists, for the examination stationery mailings.
- Ensure all spreadsheets relating to the company van are accurately maintained and report progress to the senior admin officer.
Requirements:
The jobholder must have a standard of education to A-level, IB Diploma or equivalent and a proven record of all office support facilities administration, mailroom, stationery, archiving and photocopying activities to include:
- Experience in office administration in a busy service quality controlled and complex office.
- A full clean UK driving licence.
- Proven experience of report writing, letter writing and minute taking skills.
- Good communication and interpersonal skills.
- A proven experience of database maintenance.
- Proven experience of a service quality controlled environment.
IT Skills to include:
- A comprehensive understanding of spreadsheets for various stock taking exercises and for use with mailing statistics (Excel 2007).
- Word 2007.
- Mozilla, MS Outlook or equivalent for email.
- A comprehensive knowledge of shipping couriers or similar.
- Internet.
- Intranet / Oracle Database.
This is a temporary role from 13th September til 26 November 2010. The hourly rate is £7.50.
